Intake Process FAQ
Here are some FAQs we often receive from families:
What does the intake process look like?
- You made the most important step – you reached out for help by completing our sign-up form and scheduled your evaluation online!
- Next, a member of our team will request a script from your child’s doctor if we don’t already have one on file.
- We’ll call to verify your insurance coverage, as well as invite you to our patient portal. It’s important that families complete the paperwork, especially the medical history, so we have a thorough understanding of your child’s history. We’ll also request an authorization from your insurance, when needed.
- The evaluation will take place. At the end of your evaluation, our goal is for you to understand how pediatric therapies can benefit your child, you’ll leave with immediate strategies to improve quality of life, and you’ll understand the therapeutic recommendations for how often we’d like to see your child.
- Our team will confirm your ongoing schedule with you, which is generally 2-3 times per week per therapy discipline needed.
Do I need a script from a physician?
We do require a physician referral/script for therapy services. If your child has an autism diagnosis, we will need a copy of the diagnostic evaluation as well. You can request these documents from your doctor’s office, and they can be sent to us via one of the following methods – via fax to: 816.222.0679 or via email to [email protected]
Do you accept my insurance?
Good news! We want as many families to have access to our therapy services as possible. Playabilities for Sensational Kids accepts most major health insurance providers in the Kansas City area. This list can change, so we ask that you please check your benefits with your plan prior to your visit. If your policy is not listed or if you have any questions, please contact our office at 913-213-3531. We accept the following insurances: Aetna, Blue Cross Blue Shield of Kansas City, Cigna (out-of-network), Tricare, and United Health Care Community Plan (Kansas Medicaid).
Note: While we do not accept plans from select carriers, including but not limited to United Healthcare, UMR, Luminaire, and GEHA, families may elect to pay for services out-of-pocket and request reimbursement by submitting a detailed itemized statement to their plan to maximize their benefits.
Will my ongoing treatment be the same day and time as my evaluation?
We will schedule evaluations in one-time appointment slots with one of our evaluating therapists. These appointments are fixed and may not fall within your family’s ongoing, weekly availability.
Ongoing therapy appointments will be scheduled after the evaluation is complete and therapy recommendations have been made. Your availability will be considered when scheduling ongoing sessions, so please only list times on your availability form that apply to your family’s ongoing, weekly availability.
Do you have a waitlist?
We currently have a significant waitlist for after school hours (3:00-7:00). If your child needs after-school hours, we will need to put them on our after-school waitlist at this time. Therapy slots open up when a current client discharges from therapy; it may take 12+ months to reserve an after-school time. These times are typically first offered to current clients, so if you have flexibility to commit to an earlier therapy time, we will do our best to move your child to an after-school time when it becomes available.

Attendance & Participation
WHY DOES ATTENDANCE MATTER?
Consistent attendance is one of the most important factors in your child’s progress. Therapy sessions are designed to build upon previous skills, and frequent cancellations can interrupt progress toward goals.
What attendance rate is required?
Families are expected to maintain an attendance rate of at least 80% for each therapy discipline over a rolling three-month period. All scheduled appointments, including both excused and unexcused absences, are included when calculating attendance.
What happens if my attendance falls below 80%?
If attendance drops below 80%:
- You will be notified.
- Attendance expectations and scheduling concerns will be reviewed.
- A monitoring period may be implemented.
Ongoing therapy times may be reduced or removed if attendance does not improve.
Our team will work with families whenever possible to identify solutions that support successful attendance including flexible on demand scheduling, cancellation list utilization, etc.
What if my child is frequently sick?
We understand that illnesses happen. However, frequent absences may require additional documentation, such as a doctor’s note, particularly when attendance falls below expectations.
Can we take a break from therapy and keep our recurring time?
Recurring therapy times may be held for up to two consecutive weeks within a 12-week period. If an absence extends beyond two weeks, the recurring appointment may be released and the client may return to the waitlist for future openings.
How much notice is needed to change my recurring schedule or end services?
We request at least two weeks’ notice for recurring schedule changes or discharge from services. This allows therapists to support a smooth transition and coordinate care appropriately.
How do waitlists work?
Some appointment times, especially weekday after-school hours, have active waitlists.
Families may:
- Join a waitlist for preferred times
- Request notification of one-time openings
- Your child may qualify for Flexible On-Demand Scheduling after their evaluation, helping bridge the gap until ongoing services begin. Learn more here.
Availability depends on current scheduling and cancellations.
Scheduling & Appointment Changes
How do I cancel or reschedule an appointment?
Scheduling changes must be made through our scheduling team by:
- Calling the clinic
- Texting or leaving a voicemail on the clinic phone
- Emailing the clinic
- Speaking with front desk staff
Therapists do not manage scheduling changes.
What happens if I need to cancel an evaluation?
- Evaluations are in high demand and require advance notice.
- Cancellations made fewer than three business days before the evaluation may incur a fee.
- If the evaluation is rescheduled and attended, the fee may be reduced.
- Qualifying illnesses and other clinic-approved reasons are typically excused.
- Repeated evaluation cancellations or no-shows may affect future scheduling opportunities.
What is considered an excused cancellation?
Examples of excused cancellations include:
- A child’s illness that meets our Sick Policy guidelines
- Clinic-approved weather closures
Final determination of excused status remains at the discretion of Playabilities.
What is considered an unexcused cancellation?
Examples may include:
- Forgetting an appointment
- School functions
- Vacations that were not communicated in advance
- Preventable scheduling conflicts
- Weather concerns when the clinic remains open
These examples are not all-inclusive.
Is there a fee for late cancellations?
Appointments canceled with less than two business days notice may be subject to a cancellation fee.
In some cases, the cancellation fee may be waived if a make-up session is scheduled and attended within the same week, subject to time and/or therapist availability.
What is considered a no-show?
A no show occurs when a client does not attend a scheduled appointment and the scheduling team is not notified before the appointment start time. No-shows will result in a charge for the missed session.
What if my therapist is unavailable?
When possible, another qualified therapist may cover the appointment to avoid interruptions in care. If therapist coverage is unavailable, your family will be offered rescheduling options.
Why would my child see a covering therapist?
Working with another therapist can:
- Prevent gaps in care
- Support continued progress toward goals
- Encourage flexibility and skill generalization
- Maintain consistency in treatment services
Our therapists collaborate to ensure continuity of care.
Therapy Arrival
What should I do if I am running late?
Please call the clinic if you expect to arrive more than five minutes late. This helps our team prepare and communicate with your therapist.
What happens if I arrive late for the appointment?
Appointments must meet minimum therapy time requirements to be completed.
If you arrive more than 5 minutes late, the session may need to be canceled, rescheduled, or modified based on therapist availability and treatment requirements.
Are there late arrival fees?
A late arrival fee may apply when clients arrive beyond the clinic’s grace period. Please refer to the Fee Schedule for the most current fees.
Will my session still end at the scheduled time if I’m late?
Yes. To avoid impacting appointments for other families, sessions typically end at the originally scheduled time.
Can I drop off my child for their appointment and leave?
No. A parent, guardian, or authorized caregiver must remain with the child until the therapist has escorted them from the lobby for their appointment. Children may not be left unattended in the clinic lobby. Once the child is with their therapist, the parent or guardian may leave and return at the scheduled pick-up time.
Pick-Up & Departure Procedures
When should I arrive for pick-up?
We encourage caregivers to arrive approximately 10 minutes before the conclusion of the final therapy session. This allows time for discussion of progress, home recommendations, and questions.
Are there late pick-up fees?
Yes. Late pick-up fees may apply when a child remains at the clinic after their scheduled appointment completion time. Please see the Fee Schedule for details.
Can I pick up my child early from a therapy session?
No. To ensure clients receive the full benefit of their scheduled therapy time and to minimize disruptions to treatment plans, early pick-up is generally not permitted. If a client leaves a session more than 5 minutes before the scheduled end time, administrative fees may be charged.
If an unavoidable circumstance arises, please contact Playabilities as soon as possible to discuss available options.
Can another person drop off or pick up my child?
Yes. If someone other than a parent or legal guardian will be dropping off or picking up your child, an Authorized Pick-Up/Drop-Off Form must be completed and kept on file. Please contact your Client Coordinator for assistance and to obtain the required form(s).
Clinic Operations
What holidays does Playabilities observe?
Playabilities observes the following holidays:
- New Year’s Day
- Memorial Day
- Independence Day
- Labor Day
- Thanksgiving Day
- Day after Thanksgiving
- Christmas Eve
- Christmas Day
Appointments scheduled on these holidays will not take place. Reminders will be sent as each holiday approaches, and make-up sessions will be offered when available.
If there are any changes or adjustments to the holiday schedule, clients and families will be notified in advance.
Does Playabilities close when schools are closed?
Not necessarily. Playabilities follows a medical clinic schedule rather than local school schedules. The clinic generally remains open during school breaks and snow days unless otherwise communicated.
How are weather closures determined?
Weather-related absences are considered excused only when:
- Playabilities modifies operations or closes due to weather, or
- A government-declared emergency impacts safe travel.
Families will be notified of any operational changes as quickly as possible.
Do I need a referral for therapy services?
A current physician referral is required for therapy services. Referrals are typically valid for one year unless otherwise specified by the referring provider or insurance company.
If a required referral is not on file, Playabilities may be unable to schedule or continue evaluations or therapy services until the referral is received. To avoid interruptions in care, please ensure your referral remains current and is submitted before it expires.
Where can I find the fee schedule?
Our current Fee Schedule page is shared with current clients and outlines current information regarding evaluation cancellation fees, late cancellation fees, no-show fees, late arrival fees, late pick-up fees, and administrative fees.
Fee amounts are subject to change. Please ask your Client Coordinator if you need a new copy of the Fee Schedule.
During the Session
Can I leave the clinic during my child’s session?
Yes. If you choose to leave, you must remain reachable by phone throughout the appointment in case of illness, injury, or emergency. Parent participation is always encouraged when appropriate.
Can siblings participate in therapy sessions or evaluations?
Siblings may participate when doing so supports the client’s therapeutic goals and has been approved by the therapist.
For safety and liability reasons, siblings are otherwise not permitted in treatment rooms or on clinic equipment.
